Client Case Reviews

Whenever a client requests to review his/her case record, the following must occur:

  • The client must be notified to come in to review his/her case record. Inquire what specific areas the client wishes to review. If the client is unsure, assume the client would like access to the entire record, including computer records.
    • Note: Protocol must be followed for closed cases to determine who will process the client’s request for case review.

  • The AO/EW must prepare for the review by identifying and redacting or removing privileged or confidential information contained in the case file.
  • Once the client shows for his/her appointment, the AO/EW must identify the client to ensure it is actually the client who is reviewing the case.

A computer available in a secluded area of the office,
  • Accompany the client to this designated area.
  • Sign into the Imaging system and/or CalSAWS and navigate through the appropriate screens/documents for the client, (or provide the case record if the case has not been scanned into Imaging).
    • REMINDER: Under no circumstances shall the client be allowed to navigate through Imaging or CalSAWS.

  • Remain with the client while the review process takes place.
NOT a computer available in a secluded area of the office,
  • Ensure ahead of time that there are no confidential documents pertaining to other cases in the work area that the client could view.
  • Accompany the client to the designated work area.
  • Sign into the Imaging system and/or CalSAWS and navigate through the appropriate screens/documents for the client, (or provide the case record if the case has not been scanned into Imaging).
    • REMINDER: Under no circumstances shall the client be allowed to navigate through Imaging or CalSAWS.

  • Remain with the client while the review process takes place.
