CalSAWS Imaging and Tasks
Imaging
Documents and verifications received by clients are imaged into CalSAWS. Imaged documents and verifications follow document routing rules and may create a Task. Documents from clients may be received in:
- District Office lobbies, or
- Drop boxes, or
- Mail, or
- BenefitsCal, or
- A client may directly give an EW a document in person, etc.
Documents or verifications must not be received via email. Instead, when a client needs to submit a document or verification virtually to their EW, the EW must provide the BenefitsCal website for submitting documents and verifications securely.
An EW may image documents or verifications received from a client themselves, or submit to the clerical staff to have the documents and verifications imaged. If the EW chooses to image a document or verification themselves, refer to the Imaging and Task Creation Guide and Chewable Byte CB 2023-24: How To Scan Documents Using Hyland Virtual Printer to ensure the document/verification is correctly imaged and to ensure that a Task is correctly created, if applicable.
Task Creation
Tasks are created and assigned to staff to let them know what actions need to be taken on a case. Each Task has a category and task type. Some Tasks also have a task subtype. Most Tasks are automatically created.
A manual task is required when auto-creation does not occur. To create manual tasks, refer to Chewable Byte CB 2023-12: How to Create Manual Tasks in CalSAWS.
Refer to the Category, Task Type, Task Sub-Type document located on the CATS website under the CalSAWS Reference Materials for a list of Tasks that are automatically and/or manually created.
Due Dates
Auto-Created Task Due Dates
Default due dates for the most commonly auto-created tasks are as follows:

Manual Task Due Dates
When creating a manual Task, use the due dates in the chart above. For Task types not listed above, use a default due date of 10 days.
Important: With the supervisor's approval, assignees can change Task due dates to match specific program policies.
